Southlake Foundation was established in 1980 and has been the fundraising partner to Southlake Regional Health Centre (Southlake) ever since, working with our donors and volunteers to build healthy communities and to shape the future of healthcare.
Located in the heart of York Region, Southlake is a full-service hospital with a regional, clinically advanced focus. As a regionally designated site, Southlake is responsible for developing and providing advanced levels of care to the more than one million people who reside in York Region, Simcoe County, and as far north as Muskoka. Advanced, specialty services include: arthritis care, cancer care, cardiac care, cataract surgery, child and adolescent eating disorders, mental health services for children, paediatrics and perinatal care, and thoracic surgery.
Building on more than two successive years of fundraising success, and with a new strategic plan guiding our future growth, we are looking for a self-directed professional to join our team as Executive Assistant to the President & CEO. The Executive Assistant is a key member of the team, providing executive-level administrative support to the President & CEO and supporting the governance function of the organization through support to the Board of Directors and its governance committees. As the primary point of contact for senior level volunteers, donors and a broad range of business and community leaders, this role will appeal to a highly motivated administrative professional who demonstrates outstanding judgement and exceptional attention to detail.
Key responsibilities include:
Organize complex activities for the President & CEO, including scheduling appointments, meetings, conferences, and other engagements based on an understanding of prior commitments and priorities
Act as the key liaison between the CEO’s office and internal and external stakeholders including major donors, volunteers, Southlake’s executive offices, and Foundation Board Members and community leaders
Prepare professional and high quality correspondence, presentations, briefing materials, financial summaries and other documents for internal and external audiences
Prepare agendas, meeting packages and minutes for all Senior Leadership Team and Management team meetings
Support the fundraising and related priorities of the Foundation by effectively supporting, tracking and triaging incoming requests to the President & CEO’s from staff, volunteers and donors
Provide leadership to the Foundation team in its administrative functions and be a role model in setting and following team-wide standards of administrative excellence
Serve as the administrative liaison between the President & CEO and the Board of Directors and its formal committees including scheduling, agenda and briefing material preparation, complex presentations, minutes and all related follow-up
Maintain accurate Board, director and related files, including those required for compliance with corporate and statutory regulations, and with Imagine Canada accreditation
Organize all aspects of, attend, and minute all regular and special meetings of the Board and related governance committees
Working with the VP Finance & Operations, support the recruitment, hiring and onboarding of new staff
Ensure timely and accurate attention to administrative duties for the President & CEO and the Senior Leadership Team such as expense reporting, invoicing, and absence requests
Action confidential and sensitive information with unquestionable integrity, a highly nuanced sense of judgment and absolute discretion
Qualifications & Experience:
Completion of Executive Office Administration Diploma Program or equivalent degree, with minimum of 5 years’ experience as a senior executive assistant
Governance experience supporting a Board of Directors is strongly preferred
Demonstrated, advanced-level skills in Outlook, Word, PowerPoint and Excel. Raiser’s Edge or related CRM knowledge a definite asset
A responsive customer service orientation and experience interacting with influential community and business leaders
Some exposure to the philanthropic or non-profit sector would be an asset
Proven ability to operate professionally and with consistently high standards of excellence
Excellent written and verbal communication skills
Excellent organizational skills with diligent attention to detail and the ability to produce accurate work efficiently
Ability to multi-task, prioritize and follow-through to effectively manage and improve work flow
Ability to work with minimal supervision while prioritizing own work to handle multiple tasks and ensure established deadlines are met
Good interpersonal skills with the ability to support collegiality in a small office
Demonstrated ability to lead and mentor as well as work harmoniously with others at all levels
Demonstrated commitment to and understanding of the mission and values of the Foundation
Ability to work occasional evenings, early mornings and limited weekends to support Board, committee, donor and related activities
Southlake Foundation offers a competitive compensation package, including a benefits package that comes with a defined-benefit pension program. Remuneration will be commensurate with experience and qualifications.
